Privacy Policy

This policy explains how the clinic of Op. Dr. Soner Tezcan (“we”) collects, uses and protects your information when you visit our website and contact us. Details on the processing of personal data are also set out in our Privacy Notice (KVKK).

1. Information we collect

Your name, phone number, the procedure you are interested in and your messages, sent via the consultation form, WhatsApp, phone or e-mail; if you choose to share them, your photos and health information. The website stores your language and cookie choices only in your own browser.

2. How we use it

To answer your requests, carry out a pre-assessment, plan your appointment and treatment, continue your post-operative follow-up and meet our legal obligations. We never sell or rent your information for advertising.

3. Third-party services

We use WhatsApp, Instagram and Facebook (Meta) for communication. If you submit a lead form in an Instagram or Facebook ad (instant form), the name, phone / WhatsApp number and answers you provide reach us through Meta Platforms Ireland Ltd. and are used only to respond to your consultation request. Google Maps loads when you open the map; the website is run by a hosting provider and fonts are served from our own server. If you accept cookies, the Meta Pixel runs on the home page; no form answers or health information are sent through it (see the Cookie Policy). These services are subject to their own privacy policies and may process data on servers abroad.

4. Photos and patient images

Before/after and patient photos on this site are only shared with our patients' written consent. You may withdraw your consent at any time and the images will be removed.

5. Retention and security

We keep your information only as long as necessary for its purpose and as required by law, and we take reasonable technical and organisational measures against unauthorised access. Your health information is protected by medical confidentiality.

6. Your rights

To access, correct or delete your information or object to its processing, write to info@sonertezcan.com.

7. Changes

We may update this policy from time to time; the current version is always available on this page.

Privacy Notice (KVKK)

This notice has been prepared by the Clinic of Op. Dr. Soner Tezcan (the “Clinic”), as data controller, to inform you about the processing of your personal data in accordance with the Turkish Personal Data Protection Law No. 6698 (“KVKK”) and the Communiqué on the Procedures and Principles of the Obligation to Inform.

2. Categories of Personal Data

• Identity data: Name, surname, date of birth, national ID / passport number, nationality.
• Contact data: Phone number, e-mail, address, WhatsApp and social media contact details.
• Health data (special category): Medical history, complaints, examination and test results, previous surgeries, medications, allergies, treatment and follow-up information.
• Visual records: Photos and videos you share for pre-assessment and treatment or taken during examination.
• Financial data: Invoice, payment and bank information.
• Travel and accommodation data (international patients): Flight, transfer and accommodation details.
• Transaction security data: Technical records of website use, IP address, browser information and your preferences (language, cookie consent).
• Customer transaction data: Request, appointment, complaint and feedback records.

3. Purposes of Processing

• Planning and providing pre-assessment, examination, medical diagnosis, treatment and care,
• Scheduling appointments, contacting you and responding to your requests,
• Carrying out pre- and post-operative follow-up,
• Organising transfer, accommodation and coordination for international patients,
• Invoicing, payment and accounting,
• Complying with obligations under health and other applicable legislation and informing competent authorities,
• Establishing, exercising and protecting legal rights in disputes,
• Ensuring information security and operating the website,
• With your explicit consent: using your anonymised before/after photos for promotional purposes.

4. Legal Grounds

Under Article 5 of the KVKK, your personal data is processed because it is expressly provided for by law, is directly related to the conclusion or performance of a contract, is necessary for the Clinic to fulfil its legal obligations, is necessary to establish, exercise or protect a right, or is necessary for the Clinic's legitimate interests provided that your fundamental rights are not harmed.

Your health data, as special category data, is processed under Article 6 of the KVKK by persons subject to a duty of confidentiality for the purposes of protecting public health, preventive medicine, medical diagnosis, treatment and care, or on the basis of your explicit consent.

5. Method of Collection

Your data is collected verbally, in writing or electronically, by fully or partly automated means, through the website consultation form, WhatsApp, phone, e-mail, social media messages and face-to-face meetings at the Clinic.

6. Transfers

Limited to the above purposes and in line with Articles 8 and 9 of the KVKK, your data may be transferred to the Ministry of Health and affiliated bodies, competent public authorities, courts, healthcare institutions, hospitals and laboratories involved in your treatment, contracted insurers, accounting and legal advisers, transfer and accommodation providers and IT service providers.

Transfers abroad: Servers of communication services such as WhatsApp (Meta Platforms) and of web hosting and e-mail services may be located abroad. Such transfers are carried out under the conditions of Article 9 of the KVKK and, where required, on the basis of your explicit consent. Please keep this in mind if you choose to contact us via WhatsApp; you may also reach us by phone or e-mail.

7. Retention

Your data is kept for as long as required by the purposes of processing and by statutory retention periods. Health records are kept for the periods set out in health legislation. When these periods end, your data is deleted, destroyed or anonymised.

8. Data Security

The Clinic takes the necessary technical and administrative measures to prevent unlawful processing of and access to your data and to ensure its safekeeping. Your health data is protected by medical confidentiality.

9. Your Rights under Article 11 of the KVKK

• To learn whether your personal data is processed,
• To request information if it has been processed,
• To learn the purpose of processing and whether it is used accordingly,
• To know the third parties in Türkiye or abroad to whom your data is transferred,
• To request correction of incomplete or inaccurate data,
• To request deletion or destruction of your data under the conditions of Article 7 of the KVKK,
• To request that corrections, deletions and destructions be notified to the third parties to whom the data was transferred,
• To object to a result against you arising from analysis exclusively by automated systems,
• To claim compensation for damages arising from unlawful processing.

10. How to Apply

You may submit your requests in writing, together with information identifying you, to the address above in person or through a notary, or by e-mail from your registered e-mail address to info@sonertezcan.com, in accordance with the Communiqué on the Procedures and Principles of Application to the Data Controller. Requests are concluded free of charge within 30 days at the latest; if the process requires an additional cost, the fee set by the Personal Data Protection Board may be charged.

11. Explicit Consent

You may withdraw any consent you have given at any time. Withdrawal does not affect the lawfulness of processing carried out before withdrawal.
